Admissions
Manage and promote online ticket sales. Responsibilities take place from the end of winter break until the auction.
Auction Donations
Donations Team: Solicit live/silent auction donations for the 2020 Auction. Responsibilities take place in the fall and early winter.
Data Entry Team: Enter all items to be auctioned into the Greater Giving database. Responsibilities primarily take place in the winter months leading up to the auction.
Bar
Procure alcohol via parent donations/purchase. Acquire alcohol license. Tend bar at the event. Planning begins in the winter months prior to the auction with bar tending team members needed just the night of the event.
Cash Donations
Reach out to businesses in the community and request their sponsorship (cash donations) for the 2020 SWS Auction. Responsibilities take place in the fall and winter months.
Catering
Select caterer, place order, manage process and set up day of. Planning begins in the fall, oversight of catering needed the night of the auction.
Classroom Projects Liaison
Coordinate with room parents/teachers/art studio teachers to deliver completed projects to the venue. These responsibilities take place during the winter months leading up to the auction.
Clean-up Crew
Remove/pack up/dispose of décor at the end of the auction. Pack up any remaining donations and alcohol. These responsibilities take place the night of the auction.
Communications
Market the party and communicate needs. Communicate to the SWS community throughout the planning process. These responsibilities begin during the fall with planning and intensify during the winter months leading up to the auction.
Decor
Coordinate décor; arrange transport to St. Mark’s. Perform physical set-up and logistics at the venue (along with Silent Auction Set-up Team). Create signage required at the event. Responsibilities start during the month prior to the auction and are primarily the weekend of the auction.
Early Childhood Art Studio Project Liaison
Coordinate with room parents/teachers/Marla to deliver completed projects to St. Mark’s. These responsibilities take place during the month prior to the auction.
Live Auction
Produce script for auctioneer. Coordinate Vision Fund pitch. Record paddle raises at Live Auction. Planning begins in winter months; paddle raise recorders needed for night of auction.
Parent-Staff Liaison
Solicit and coordinate all Teacher Experiences; work with Donations Data Entry team to get them entered into Greater Giving database. Responsibilities take place during the winter months leading up to the auction.
Raffle Team
Distribute and draw raffle tickets (for Golden Ticket and Principal for a Day) at the auction. Responsibilities take place the evening of the auction.
Registration
Manage online registration in the days leading up to the event. Register and check out guests at the event. Responsibilities primarily take place the night of the auction, with some prep (i.e. software familiarization) in the winter months.
Silent Auction Items Set-up
Create schematic for set-up and physically arrange auction items at St. Mark’s on day prior to/day of auction. Create displays for items as needed. Responsibilities are primarily the auction weekend, with some planning the month prior.
Spirit Parties
Solicit/design spirit parties to be hosted by families, teachers, and administrators. Responsibilities take place during the winter months leading up to the auction.
Website
Maintain and update SWS Auction website. Responsibilities take place in fall and winter.
